Privacy Policy
Effective date: July 30, 2026 · Last updated: October 29, 2026
This Privacy Policy describes how EpoxySuite (“EpoxySuite,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects information when you use the EpoxySuite mobile application, visit epoxysuite.com, request trial access, or contact us. EpoxySuite is designed for business users and epoxy flooring contractors.
1. Information we collect
The information we collect depends on the features you use.
Information you provide
- Account and contact information: name, email address, phone number, company name, account identifier, login credentials or authentication-provider information, and profile details.
- Customer and project content: customer names and contact details, jobsite or project addresses, measurements, project notes, coating-system selections, material quantities, estimates, quotes, taxes, pricing, payment schedules, payment-status records, warranty notes, and other content you enter.
- Communications and media: emails or text-message content, project photos or videos, audio or voice-note content, and related files that you choose to create, upload, attach, import, send, or store through an app feature.
- Purchase information: subscription, entitlement, trial, and purchase-history information used to provide paid or trial access. Payment credentials are processed by Apple or the applicable payment provider; EpoxySuite does not receive your complete payment-card number.
- Business preferences: currency, measurement units, tax rates, margins, branding, notification settings, and reminder preferences.
- Communications: information included in support requests, privacy requests, trial applications, survey responses, or other messages to us.
Information collected automatically
- Device and technical information: device type, device identifier, operating-system version, app version, language, time zone, and technical identifiers required to operate and secure the service.
- Location information: coarse or approximate location when a feature requires regional context and you grant permission, as well as project or business addresses you enter manually. EpoxySuite does not collect precise device location unless a feature clearly requests it and you consent.
- Diagnostics and usage information: crash data, performance data, other diagnostic information, error logs, and product-interaction data used to maintain reliability, troubleshoot problems, secure the service, and improve app functionality.
- Website information: standard server logs and essential cookies or similar technologies used for security, site operation, and form submission.
EpoxySuite does not require access to health data, contacts stored in your device address book, precise location, or complete payment-card numbers unless a feature clearly asks for applicable information and you choose to provide permission. Project addresses entered manually are treated as project content, not precise device location data.
2. How we use information
- Provide and operate account, estimating, material-calculation, quoting, client-management, reminder, and related features.
- Save, synchronize, display, export, and share information at your direction.
- Authenticate users, prevent misuse, protect accounts, and maintain service security.
- Respond to support, trial-access, and privacy requests.
- Monitor reliability, diagnose errors, and improve app performance and functionality.
- Send service-related notices. We send marketing messages only where permitted, and you may opt out using the instructions in the message.
- Comply with law, resolve disputes, and enforce our agreements.
3. Sharing and disclosure
We do not sell personal information. We do not use personal information for cross-app tracking or third-party behavioral advertising.
We may disclose information only in these circumstances:
- Service providers: vendors that provide cloud hosting, data storage, authentication, email delivery, customer support, diagnostics, security, and similar operational services. They may process information only to provide services to us and must protect it under contractual or equivalent obligations.
- At your direction: when you export or send a quote, share project information, or otherwise direct us to disclose content.
- Legal and safety reasons: when reasonably necessary to comply with law or valid legal process, protect rights and safety, investigate fraud or abuse, or secure the service.
- Business transactions: as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and notice requirements.
Third-party providers that process personal information for EpoxySuite are required to provide protections consistent with this policy and applicable law. Their own processing may also be governed by their published privacy terms.
4. Legal bases for processing
Where applicable law requires a legal basis, we process information as necessary to provide the service or perform a contract, based on your consent, to comply with legal obligations, and for legitimate interests such as security, support, fraud prevention, and product improvement. You may withdraw consent at any time, without affecting processing already completed.
5. Retention and deletion
We retain information only as long as reasonably necessary for the purposes described above. Account and project information is generally retained while your account is active. After a verified deletion request, we delete or de-identify associated personal information from active systems within 30 days, unless retention is required for legal, tax, accounting, fraud-prevention, security, backup, or dispute-resolution purposes. Backup copies are removed through our normal backup lifecycle.
You may request deletion of your account and associated personal information at any time, either in the app under Account → Delete account, or by emailing [email protected] with the subject “EpoxySuite Account Deletion.” We may take reasonable steps to verify that you control the account.
Deletion removes your account, profile, estimates, quotes, client records, and job photos, videos and voice notes. Your data is permanently removed 30 days after the request. Signing back in during those 30 days cancels the request and restores the account. After 30 days the deletion is permanent and cannot be undone. Full details are on the account deletion page.
6. Your choices and privacy rights
Depending on where you live, you may have the right to request access to, correction of, deletion of, or a portable copy of your personal information; object to or restrict certain processing; or withdraw consent. You may also change app preferences, manage device permissions in iOS Settings, and unsubscribe from marketing communications. We will not discriminate against you for exercising a privacy right.
To submit a request, email us using the contact details below. You may appeal a decision about your request by replying to our response and asking for an appeal.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.
8. International data transfers
Information may be processed in Canada, the United States, or other countries where we or our service providers operate. Where required, we use appropriate contractual or legal safeguards for international transfers.
9. Children’s privacy
EpoxySuite is a business application and is not directed to children under 13, or the higher minimum age required in a user’s jurisdiction. We do not knowingly collect personal information from children. If you believe a child provided information to us, contact us so we can investigate and delete it.
10. Third-party links and services
The service may contain links to third-party websites or enable exports to services you choose. Their privacy practices are governed by their own policies, and this policy does not cover information they independently collect.
11. Changes to this policy
We may update this policy as EpoxySuite or applicable requirements change. We will publish the revised policy at this URL, update the “Last updated” date, and provide additional notice when required by law.
